These Terms of Service ("Terms") are a legal agreement between you and Join Orbi ("Join Orbi", "we", "us", or "our"), the operator of the website and video-meeting service at joinorbi.com and its related applications (together, the "Service"). By creating an account, starting or joining a meeting, or otherwise using the Service, you agree to these Terms. If you do not agree, do not use the Service.
Join Orbi provides browser-based video meetings and related tools, which may include audio and video calls, screen sharing, a whiteboard, chat and file sharing, meeting recording, live captions, scheduling and a booking page, waiting rooms and password-protected rooms, a website call button, an installable app, remote support, and AI assistant and avatar features. Features available to you depend on your plan and on features being enabled. We may add, change, or remove features over time.
You need a free account to host or start a meeting. Guests you invite may join a meeting from a shared link without an account. You are responsible for keeping your login credentials confidential and for all activity that occurs under your account. Tell us promptly if you believe your account has been used without your permission. You must give accurate account information and keep it up to date.
You must be at least 13 years old to use the Service. If you are under 18, you may use the Service only with the involvement and consent of a parent or legal guardian. By using the Service you represent that you meet these requirements and that your use does not violate any law that applies to you.

You are responsible for everything that happens in the meetings you host and for the conduct of the guests you invite.
As a host, you control your meeting: you may admit or remove participants, lock the room, require a password, and enable a waiting room. Free meetings are subject to limits, which may include a time limit and a limit on the number of participants; paid plans raise or remove these limits. Guests are bound by the acceptable-use rules above when they join a meeting, and you should tell your guests how their information will be used.
The Service lets a host record a meeting. Recording and monitoring laws vary by location, and in many places you must inform participants and obtain their consent before recording. You are solely responsible for complying with all recording, wiretapping, and privacy laws that apply to you and your participants, including obtaining any required consent, and for how you store and use any recording you make. Join Orbi is not responsible for recordings created by users.
Remote Support (available on the Business plan) lets a person view and control another person's computer only after that person grants permission on their own device. If you use Remote Support, you agree to obtain clear permission before accessing any device, to access only what you are authorized to access, and to use the feature solely for legitimate support purposes. You are responsible for any action you take on a device you connect to, and for any harm caused by your use of the feature. Never use Remote Support to access a device or data without authorization.
AI assistant and avatar features may process meeting audio, text, or other inputs using third-party AI providers to generate responses, transcripts, captions, or avatar output. AI output can be inaccurate or incomplete and should not be relied on as professional advice. Do not submit sensitive personal, health, financial, or confidential information to AI features. By using them, you consent to the processing of your inputs by us and our AI providers as described in our Privacy Policy.
Some features require a paid subscription (for example Starter, Pro, or Business). Prices are shown on our Pricing page and may change; we will apply changes to future billing periods, not retroactively. Paid plans are billed in advance on a recurring basis (for example monthly) through our payment processor until you cancel. You can cancel any time, and your paid features remain active until the end of the period you have already paid for. Except where required by law, payments are non-refundable and we do not provide refunds for partial periods. You are responsible for any taxes that apply. If a payment fails or a chargeback is filed, we may suspend paid features or your account.
Parts of the Service may display advertising, including ads served by third-party ad networks. We are not responsible for the content of third-party ads or for the products or services they promote. Your dealings with advertisers are solely between you and the advertiser.
You keep ownership of the content you provide through the Service, such as your name, messages, files, and recordings ("Your Content"). You grant us a limited, non-exclusive license to host, process, transmit, and display Your Content only as needed to operate and provide the Service to you and your participants. You are responsible for Your Content and for having the rights to share it. You must not share content you do not have the right to share.
The Service, including the Join Orbi name, logo, software, and design, is owned by us or our licensors and is protected by intellectual-property laws. We grant you a limited, revocable, non-transferable license to use the Service for its intended purpose. You may not copy, modify, distribute, sell, or create derivative works from the Service except as expressly allowed by us or by law.
The Service relies on third parties — for example our hosting and network provider, payment processors, AI providers, email delivery, and analytics or security tools. Your use of the Service may involve these third parties processing certain data as described in our Privacy Policy. We are not responsible for third-party services, and their own terms may apply.
Join Orbi is a general-purpose meeting tool. It is not designed for, and must not be used to transmit, store, or process regulated data — including protected health information under HIPAA, payment-card data subject to PCI-DSS, or other data subject to special legal protection — unless you have a separate written agreement with us that expressly permits it. We do not provide HIPAA Business Associate Agreements. You are responsible for choosing a suitable tool for regulated data.
The Service is provided "as is" and "as available", without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, secure, error-free, or that meetings, recordings, captions, or AI output will be accurate or preserved. Meeting media is encrypted in transit but is not end-to-end encrypted, meaning it can be processed by our servers to deliver the meeting. You use the Service at your own risk.
To the fullest extent permitted by law, Join Orbi and its owners, employees, and suppliers will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for lost profits, data, goodwill, or business, arising from or related to your use of the Service. To the fullest extent permitted by law, our total liability for any claim relating to the Service will not exceed the greater of the amount you paid us for the Service in the twelve months before the claim, or fifty U.S. dollars ($50). Some jurisdictions do not allow certain limitations, so some of the above may not apply to you.
You agree to defend, indemnify, and hold harmless Join Orbi from any claims, damages, losses, and costs (including reasonable legal fees) arising from your use of the Service, Your Content, your meetings or recordings, your use of Remote Support, or your breach of these Terms or of any law or third-party right.
You may stop using the Service at any time and may close your account. We may suspend or terminate your access — with or without notice — if we reasonably believe you have violated these Terms, created risk or legal exposure for us or others, or engaged in fraud or abuse. If your account is blocked, you may be shown the reason when you try to sign in. Sections that by their nature should survive termination (including intellectual property, disclaimers, limitation of liability, and indemnification) will survive.
We may update these Terms from time to time. When we do, we will change the "Last updated" date above, and significant changes may be announced on the Service. Your continued use of the Service after changes take effect means you accept the updated Terms.
These Terms are governed by the laws of the State of Florida, United States, without regard to its conflict-of-laws rules, and you agree that the state and federal courts located in Florida will have exclusive jurisdiction over any dispute that is not resolved informally, except where applicable law gives you the right to bring a claim elsewhere. We will each first try to resolve any dispute informally by contacting each other.
